CES Exhibitor Guide — Booth Rules, Move-In and Rentals in Las Vegas

A practical guide for CES exhibitors in Las Vegas — hall assignments, booth height rules, rigging deadlines, target move-in times, drayage and what a turnkey rental includes.

Relative planning windows

Build the schedule around confirmed official deadlines

Exact deadlines vary by assignment, service, venue, contractor, freight method, and current show materials. Use this guide to prepare the work, then replace assumptions with official dates.

  1. Six or more months before

    • Confirm objectives, audience, footprint, venue status, products, demonstrations, meetings, and stakeholders.
    • Compare rental, custom, and hybrid approaches against the intended life cycle and budget range.
    • Identify long-lead product, media, rigging, structural, accessibility, or custom-fabrication requirements.
  2. Four to six months before

    • Approve the operating brief, concept direction, preliminary scope, graphics responsibilities, and technology plan.
    • Verify current official exhibitor materials, campus information, service portals, and assigned contractor path.
    • Choose the freight strategy and identify advance-warehouse or direct-to-show decision points.
  3. Two to four months before

    • Complete design and engineering approvals, graphic specifications, media requirements, service orders, and labor planning.
    • Confirm packing, labels, installation drawings, product logistics, storage, utilities, network, cleaning, and lead-capture needs.
    • Review change control so late decisions have visible effects on price, schedule, freight, and field work.
  4. Final month

    • Complete production quality checks, graphic preflight, hardware tests, device and media tests, packing, labels, and documentation.
    • Reconfirm carrier, target dates, labor calls, floor access, service readiness, contacts, and opening-day spares.
    • Prepare the installation sequence, punch list, escalation path, staff handoff, and dismantle instructions.
  5. Move-in and installation

    • Track freight and material handling, supervise the build, verify utilities, complete media and device testing, and close the punch list.
    • Document conditions, exceptions, approved changes, and the final exhibitor handoff before opening.
  6. Show days and dismantle

    • Use an identified support path for operational issues and protect products, media, storage, and visitor flow.
    • Coordinate dismantle, packing, outbound labeling, carrier handoff, return or storage routing, and project closeout.

Dismantle and return

  • Protect products, media, personal items, and reusable assets before dismantle begins.
  • Coordinate labor, packing, outbound labels, carrier handoff, and return or storage routing.
  • Document final condition, exceptions, and closeout responsibilities before leaving the venue.

CES® 2027 planning questions

Frequently asked questions

These answers support independent project planning. Official organizer, venue, and contractor materials control the current event requirements.

Do you rent trade show booths for CES?

Yes. We provide turnkey exhibit rentals for CES exhibitors in Las Vegas — structure, graphics, flooring, lighting, furniture, delivery, installation and dismantle — at the Las Vegas Convention Center and the Venetian Expo.

How early should I book a booth rental for CES?

Six months is comfortable; nine is better for custom fabrication or a double-deck. CES move-in runs through the holiday period, which compresses production, freight and install labor across the entire Las Vegas market at once.

Which halls does CES use?

CES occupies the Las Vegas Convention Center West, Central and North Halls plus the Venetian Expo, with additional activations at Strip properties. Your hall assignment determines what you can build — West Hall has the highest ceiling and the most capable rigging grid.

Can I have a hanging sign at CES?

Yes for island booths, with organizer approval and engineered drawings. Rigging labor is ordered through the official general contractor and has a firm advance deadline. We prepare and submit the drawings.

What is the maximum booth height at CES?

Inline booths are capped at eight feet on the back wall with three-foot side rails on the aisle portion. Islands are permitted substantially higher, with the exact limit set by the organizer and the hall. We confirm the limit for your specific space before design.

Are you affiliated with CES or the Consumer Technology Association?

No. We are an independent exhibit rental and fabrication company. We are not affiliated with, endorsed by or sponsored by CES, the Consumer Technology Association, or any show organizer or venue. We build exhibits for companies that exhibit at these shows.
